The Simple Systems That Transformed My Cake Business (And Why You Need Them Too)

Let me tell you something that might surprise you.

I am not naturally organized. Like, at all.

I loved the creative side of my cake business - the techniques, the designs, the artistry. That part? I could do it for hours.

But the follow-ups? The invoicing? Remembering who paid what and when?

Not my strong suit.

And here's the trap I see so many cake designers fall into: thinking you need to "get better" at admin and getting more clients to justify setting up systems.

But here's the truth that changed everything for me:

I didn't need systems because I was organized. I needed systems because I wasn't - and I still wanted to run a high-end wedding cake business.

The Moment Everything Clicked

I was having coffee with my friend Sophia, a high-end wedding photographer. She casually mentioned: "Oh, I don't chase payments anymore. My CRM does that."

She showed me her setup. Enquiries came in through a form. Follow-ups went out automatically. Payment reminders sent themselves. Everything looked professional and on-brand, without her manually doing anything.

I sat there thinking: That's what I need.

I hadn’t been running my cake business for long at that point, but I was already tired.

Tired of manually following up. Tired of creating invoices on Quickbooks. Tired of filling everything manually on my calendar and hoping my memory wouldn't fail me.

What Life Looked Like Before Systems

Here's how things used to work:

Endless back-and-forth emails trying to get basic information. Manual invoicing in Quickbooks with a line at the bottom: "By making a payment, you agree to Zaza Marcelle's Terms & Conditions" (with a link they had to click).

And from there I was on my own. Everything lived between my head and my calendar (paper and laptop). 

When was the deposit due? Did they pay? When's the tasting? Did I send the final invoice?

I was constantly second-guessing myself. Did I chase that payment? Is it too soon? Too late? Am I being annoying?

This is how I was trying to run a high-end wedding cake business.

But there is one thing I knew even before I started my own business: High-end businesses don't run on sticky notes. They run on systems. 

What Changed When I Set Up Systems

I set up Dubsado within a year of starting my cake business. Here's what happened:

Pre-written email templates saved me from typing the same thing 5000 times. I'd attach my brochure and questionnaire - which filtered out tire-kickers automatically.
